1. Purpose of the Agreement
This document outlines the terms and mutual expectations between Nakayoshikai (the “Charity”) and the volunteer (the “Volunteer”) who supports the Charity in its operations. It is not a contract of employment and does not form an agency relationship with the Charity.
2. Volunteer Role
The Volunteer agrees to assist with the ongoing administration and operation of the Charity. Activities may include but are not limited to governance support, meeting attendance, communications, documentation, and other organisational tasks.
There is no fixed schedule or minimum time commitment required. Volunteers may contribute as and when they are able, in agreement with the Charity.
3. Status of the Volunteer
This Agreement neither creates an employment relationship nor an agency relationship.
Volunteers are not entitled to salary, benefits, or statutory employment rights.
The Charity does not undertake to provide continuous volunteering opportunities.
4. Right to Work in the UK
The Volunteer confirms they hold valid documentation evidencing their right to volunteer or work in the United Kingdom, and agrees to provide such documentation upon request.
5. Confidentiality
The Volunteer agrees to maintain the confidentiality of all sensitive information, including personal data, acquired in the course of their volunteering. This obligation continues after the end of their involvement with the Charity.
6. Data Protection
The Charity will handle personal data of the Volunteer in compliance with UK data protection law. Volunteers have the right to request access to their personal data held by the Charity.
7. Conduct and Representation
Volunteers are expected to act professionally, respectfully, and in a manner consistent with the values and objectives of Nakayoshikai. Volunteers must not make public statements on behalf of the Charity without prior authorisation.
8. Safeguarding
When involved in Nakayoshikai’s operations involving children, the Volunteer is required to safeguard the welfare of all children by protecting them from all forms of abuse. In the event of any safeguarding concern, the Volunteer must report any concerns to Nakayoshikai’s lead and/or CEO.
9. Health and Safety
The Charity will take reasonable steps to ensure the Volunteer’s health and safety while volunteering. The Volunteer agrees to follow all applicable health and safety guidelines and report any concerns.
10. Insurance
The Volunteer will be covered by the Charity’s public liability insurance while performing approved duties on behalf of the Charity.
11. Ending the Volunteering Relationsh
The Charity may end the volunteering relationship at any time, without notice or reason. The Volunteer may terminate this Agreement with reasonable notice and not less than one calendar month where possible.
12. Notice and Variation to the Agreement
The Charity may update this Agreement from time to time and shall make this Agreement available at https://nakayoshikai.co.uk/legal/volunteer-terms-and-conditions
13. Governing Law and Jurisdiction
This agreement is governed by the laws of England and Wales and any action at law or in equity arising out of or directly or indirectly relating to these terms of the Agreement shall be filed only in the English courts.
